     Cameroon Marine & Ship-to-Ship Services (“CM2S”, “we”, “our”) retains personal data only for as long as necessary to fulfil operational, contractual, legal, and regulatory obligations, in accordance with the EU General Data Protection Regulation (GDPR) and applicable laws.

  1. Purpose of This Policy

         This Data Retention Policy defines: what types of personal data CM2S retains, how long such data is retained, and the principles governing secure deletion or anonymisation.

          CM2S follows the principle of data minimisation and storage limitation.

      2.Categories of Data and Retention Periods

      a) Website Enquiries & Contact Forms

      Data types:

  • Name:
  • Company name:
  • Email address:
  • Phone number:
  • Message content:
  • Retention period: Up to 24 months from last interaction
  • Purpose: Responding to enquiries

        Business development and follow-up

        After this period, data is deleted or anonymised, unless a business relationship has been established.

     b) Client & Partner Business Data (B2B)

         Data types:

  • Contact details of client representatives
  • Commercial correspondence
  • Contractual communications

         Retention period:

  • Duration of the business relationship plus 7 years

         Purpose:

  • Contract execution

  • Regulatory, audit, and legal compliance

  • Dispute resolution

         This aligns with standard EU commercial and accounting practices.

      c) Operational & Safety-Related Records 

         Data types:

  • Incident reports
  • Safety communications
  • Operational coordination emails (limited personal data)

        Retention period:

  • 5 to 10 years, depending on applicable maritime, safety, and insurance requirements

        Purpose:

  • Compliance with maritime safety regulations
  • Insurance and liability management

     d) Website Analytics & Technical Logs

         Data types:

      • IP address (anonymised where possible)
      • Browser and device data
      • Usage statistics

                Retention period:

      • 14 to 26 months (default Google Analytics settings)

                Purpose:

      • Website security
      • Performance monitoring
      • Usage analysis
      • IP anonymisation is enabled where technically feasible.

           e) Marketing Communications (If Applicable)

      • Data types:
      • Email address
      • Name
      • Retention period: Until consent is withdrawn, or Maximum 24 months of inactivity

                CM2S does not engage in aggressive marketing or unsolicited communications.

            2. Legal Basis for Retention (GDPR Article 6)

                CM2S retains personal data based on one or more of the following legal grounds:

      • Consent
      • Performance of a contract
      • Compliance with legal obligations
      • Legitimate business interests, where not overridden by individual rights

            4. Data Deletion & Anonymisation

                At the end of the applicable retention period: Data is securely deleted, or Irreversibly anonymised so individuals can no longer be identified Deletion applies to:

      • Databases
      • Email systems
      • Backups (within technically reasonable timelines)

           5. Data Subject Rights (EU / GDPR)

               EU data subjects have the right to:

      • Access their personal data
      • Request correction
      • Request erasure (“right to be forgotten”)
      • Restrict or object to processing
      • Requests will be addressed within 30 days, unless extended under GDPR-permitted conditions.

            6. Cross-Border Data Processing

               As CM2S operates internationally:

      • Personal data may be processed outside the EU
      • Appropriate safeguards are applied to protect data
      • CM2S does not transfer personal data for commercial resale or profiling.

            7. Policy Review

               This Data Retention Policy is reviewed periodically and updated as required to ensure continued compliance with GDPR and applicable laws.
